This notice explains what personal information Routinate Solutions (“Routinate”, “we”, “us”) collects when you visit routinate.com or contact us, why we collect it, and the choices you have. We keep it short because we collect very little.

What we collect

  • Things you send us. When you use our contact form, we receive your name, email address, what you need help with and whatever you choose to tell us in your message.
  • Basic technical data. Our hosting provider, Cloudflare, processes standard request information (such as IP address and browser type) to deliver and protect the site, including checking that form submissions come from a real person.
  • How the site is used. We use Cloudflare Web Analytics and PostHog to understand which pages people visit, where they came from, and where they click and scroll, so we can improve the site. Neither sets cookies or stores anything on your device. Your IP address is used briefly to work out your country and to create an anonymous visitor ID that changes every day; we never see it or use it to identify you. PostHog data is stored in the EU. We don’t record your screen or what you type.
  • Your theme preference. If you choose light or dark mode we remember your choice in your browser’s local storage. It never leaves your device.

We don’t use cookies for analytics, advertising or tracking, and we don’t sell your information.

How we use it

We use the details you send us to reply to your enquiry, provide a quote and, if you become a client, deliver our services. Our lawful basis is our legitimate interest in responding to people who contact us, or taking steps at your request before entering into a contract. We use analytics on the basis of our legitimate interest in understanding how the site is used and making it better.

Who we share it with

We use a small number of trusted providers to run the website and handle enquiries, including Cloudflare (hosting, security, spam protection and analytics) and PostHog (analytics). Messages sent through the contact form go straight into our own systems. Providers only process data on our behalf and as needed to provide their service.

How long we keep it

We keep enquiries for as long as needed to deal with them and for a reasonable period afterwards in case you get back in touch. Client records are kept for as long as the law requires.

Your rights

Under UK data protection law you can ask to see, correct or delete the personal information we hold about you, or object to how we use it. Send us a request through our contact form and we’ll respond within one month. You can also complain to the Information Commissioner’s Office (ico.org.uk).
